There is a Lost and Found in the Physics & Astronomy Dept. Main Office in Henn 325 (tel. 604-822-3853) for items which have been found in either Hennings or Hebb buildings.  Main Office hours are 8:30am-4:30pm weekdays.  It is a good idea for students to put their name on their articles.  This helps in identifying the owner and the Main Office can then get their contact information from the Student Information Service Center in order to reach the student.  There is also the UBC Lost and Found in Campus Security, 2133 East Mall (tel. 604-822-9922).  Their website address is: http://www.security.ubc.ca/?page_id=115 and from there, they have an on-line site containing a “Found Item” page and a “Report a Lost Item” page.  For lost UBC student cards and U-Passes, students can also check with the Carding Office in the UBC Bookstore.

Lockers are available in the Henn building on the 3^rd Floor only (along the east and the north corridors).  Students will need to supply their own padlock.  Items are left at the student’s own risk and the Physics and Astronomy Dept. is not responsible for missing articles.  Students will need to come to the Main Office in Henn 325 to pay for their locker.  Payment for lockers is by cash only (credit or debit cards are not accepted) and a receipt will be issued and given to the student, along with a reminder note giving the policy guidelines for renting a locker and other information.  Students will also be asked for their student # and email address.  Refunds are not given for lockers.

The cost to rent a locker is $20 (or $17 for a Physics Society member – student needs to show their current Physics Society membership card).  The fee covers both the Fall term and the Spring term until the end of April. If the locker contents have not been removed by May 31 of the rental period paid for, then the lock will be cut and the items removed.  The fee is the same whether it is for one term or for two terms. 

Lockers may also be rented for the summer months (May 1 – Aug. 31) and the fees are still either $20 or $17 (they are not pro-rated).  If the student wishes to continue using the locker for the winter terms, they will need to come and pay for it prior to the first day of term in Sept.  Likewise, if a student wishes to continue using a locker in the summer which they’ve had for the winter terms, they will need to come and pay for the summer months prior to May 1. 

Bridget (2-3853, Henn 325) looks after any Trouble Calls which are to do with general areas in our buildings. However, if there's a problem in your own office or research lab, then you will need to contact Trouble Calls directly. Their email address is: tc.p...@ubc.ca and their tel. no. is 822-2173 and they close at 3:30pm. If there's an emergency after 3:30pm, then you may call 822-2173 and someone from Plant Ops will answer. At midnight, these phone calls are directed to the Power House.

A 24-48 business hour turnaround time is required for processing key requests. Please read this section in full to ensure there is no delay in receiving the keys requested.
Please email your requests to Bridget Phillips (phil...@phas.ubc.ca). You do not need to come in person with your student/visitor, email is sufficient and will serve as authorization.

Your email must include the following information:
(1) Name and Title: (e.g: visitor, Post doc, Research Asst., etc.)
(2) For students, please provide a student number and confirm whether they are grad, undergrad, TA or co-op student
(3) Indicate all areas/rooms requiring access (include room number)
(4) How long is the key needed for? e.g. temporary, permanent, short term, long term, or any additional information would be very helpful (e.g For TA's - include the course #).

Please Note: We use an on-line key request system.  The key desk approves requests within a 24 to 48 hour time frame following our inter office request if not sooner depending on volume.  An e-mail notification from Access Control (key desk)  will be sent to the recipient when the key(s) are ready for pickup.  Employees, students and visitors must ensure they bring picture ID and have their employee number available (if applicable) along with their email address.

After-hour access - A Building Key is given if there is a need for the individual to be here after hours and weekends.  Please state the reason on your email request.

Access to labs with chemicals - If a key is required for a Lab that has chemicals, please complete the Safety Information Checklist form, before seeing Bridget P. A Lab Key will not be issued unless this form is completely filled out and signed by the Supervisor of the Lab. Deposits - Some high security keys have departmental deposits.  In addition to this, the key desk will charge requestors a one-time deposit of $20 to open an account.
The intent of the key deposit to ensure user accepts responsibility for the use and to return the key back to the University Keys are assigned to an individual with the intent that when access is not longer required and/or assigned, it ensures the individual returns the key and is refunded their deposit.

It also ensures the key after issuance is solely for the person it was issued to. The policy revolves around: Privilege, Access, Responsibility, University Property

Parking Office Hours: Monday to Friday from 8:30am to 4:30pm, General Service Admin Bldg.

Please ensure you have obtained a long distance authorization code. To enable the telephone line for long distance calling, you must input this code or your fax won't be sent. The auth. code works in the same manner as it would for long distance dialing from your office/lab phone. Many of you obtained an individual code if you chose to restrict long distance capability on your telephone lines. i.e in the case where you have a shared office or high traffic area.

When your auth. code is input, the charge will be applied against your Project/Grant (when the call has been completed) and will appear on your month end telephone service report from IT Services. This eliminates additional billing services previously performed by our clerical staff. You won't require a code for any local calls, which are free of charge.

*Please note, PHAS staff are not authorized to release code numbers to your students or visitors without your consent so please ensure you relay this info to them directly.

Undergraduate students can borrow AV equipment from the Media Group, 2194 Health Sciences Mall, tel. 604-822-5561.

There are three projectors in the Main Office, available for sign-out by faculty members. Projectors should be booked ahead of time. If a grad student needs it and their supervisor will be at the meeting, we do sometimes override the policy if we know the student.  Their supervisor, however, has to take ultimate responsibility for it.  If someone needs to take the projector out of the building or off campus for a meeting etc., they should first get authorization from Paul de Leon, Director Finance/Operations.  If a projector is needed after office hours, then a set of keys can be loaned out from the Main Office, in order to lock the projector back in the cupboard afterwards. Laser Pointers are also available in the Main Office and will be signed out but they don’t have to be booked ahead of time.

Photocopying services are not available to undergraduate students in the department.  There are a number of photocopying places on the UBC campus (including the SUB) where the student can pay for their photocopying.

For the most part, the department is housed in 2 buildings: the Hennings Building (6224 Agricultural Road) and the Hebb Tower (2045 East Mall).
